Where your business data actually lives

Most business owners can’t answer this, and it rarely comes up until it suddenly matters — in a tender, an insurance form, or a client’s security questionnaire.

Australian Citizenship Day falls on 17 September. It’s as good a prompt as any to ask a question most businesses have never had to answer: which country is your data actually sitting in?

When it comes up

Almost always at an inconvenient moment. A larger client sends a supplier security questionnaire. An insurer asks where records are held. A government or education tender includes a data residency clause. Suddenly something nobody had thought about is holding up a contract.

Three reasons it matters

  • Latency you can actually feel

    Data stored overseas means every request makes a round trip. On a phone system that shows up as delay on a call — the thing that makes people talk over each other and then apologise.

  • Which laws apply

    Data held offshore may sit under another country’s legal framework, including foreign access provisions. For health, legal, financial and government-adjacent work, that’s a genuine compliance question rather than a theoretical one.

  • Who you actually call

    When something breaks at 9am Sydney time, is there someone awake with authority to fix it — or a ticket queue in a timezone that’s asleep?

Questions worth asking your providers

  1. Which country is the data stored in?Ask for the specific answer, not “the cloud.” A reputable provider will tell you without hesitating.
  2. Where are backups held?Primary storage and backup storage are often in different places, and the backup is the one people forget to ask about.
  3. Who can access it, and from where?Support teams offshore may have administrative access even when the data itself is stored locally.
  4. What happens if you leave?How the data comes back to you, in what format, and how long they keep a copy afterwards.
