After hours call handling

Business continuity

Four days closed. Is anything still answering the phone?

A customer ringing on the Saturday of a long weekend doesn’t know your office is closed. They know their call rang out — and that the next number on the list answered.

Most continuity advice is about backups and servers. This one is about the phone, because it’s the part customers actually experience.

You don’t need someone rostered on over a long weekend. You need calls to land somewhere useful, and callers to know when you’re back.

The three that matter

  • A message that gives a return date

Not just “we’re closed.” A date. People will wait if they know how long — they won’t wait for silence, and they certainly won’t wait for a ring-out.

  • Calls that divert somewhere real

To a mobile someone is actually carrying, or to the softphone app on their phone. Check it now rather than on Friday afternoon.

  • A connection that doesn’t need supervising

Automatic 4G or 5G failover means an outage on the Sunday doesn’t become a Wednesday discovery.

What good after-hours handling sounds like

A caller should hear, within about fifteen seconds: who they’ve reached, that you’re closed, when you reopen, and what to do if it’s urgent. That’s it. Long menus at 6pm on a Friday do nothing for anyone.

Worth writing down

“You’ve reached Comstel ICT. Our office is closed for the long weekend and we reopen at 8:30am on Tuesday the 29th. Please leave a message and we’ll return your call that morning. If it’s urgent, press 1 to reach our on-call team.”

Specific, short, and it tells the caller exactly what happens next.

The mistake almost everyone makes

Calls divert to a mobile that belonged to someone who left in March.

Or to a handset in a drawer at the office, or to a number that was correct three restructures ago. Diversions get configured once and then never tested, because testing them requires someone to actually ring the main number and see what happens.

It takes about ninety seconds. Ring your own main line from your mobile, outside business hours, and follow it through to wherever it ends up.

The Friday afternoon checklist

  1. Set the after-hours greetingWith a specific return date.
  2. Ring the main number yourselfFollow the diversion all the way through.
  3. Confirm last night’s backup completedAnd restore one file to prove it works.
  4. Check the failover has been testedConfigured is not the same as working.
  5. Name one on-call personAnd tell the team who it is, in writing.
  6. Freeze non-urgent changesNothing gets pushed on the Thursday before four quiet days.
  7. Remind finance about payment verificationLong weekends are prime time for invoice fraud, because the usual second pair of eyes is away.

How cloud phones change this

On a cloud system, after-hours routing is a setting rather than a service call. Calls can follow a person to the app on their mobile, route to a group, or go to voicemail-to-email so messages land in an inbox rather than sitting on a handset until Tuesday.
